A 60×40×35 cm carton of phone cases weighs four kilos on the warehouse floor scale. The courier invoice says 16.8. Neither of you is lying — the courier charges by volumetric weight: length × width × height in centimeters divided by 5,000, which converts the box's volume into a notional weight. One cubic meter divided by 5,000 equals 200 kg, which is how much payload space that box would consume on a plane full of actual 200 kg drums. Space is the scarce resource, so space is what you buy.
The logic stops feeling like a rip-off once you watch it from the carrier's side. A pallet of feather pillows and a pallet of cast iron take the same hold space; billing pillows by their 4 kg actual weight would make every flight carrying them a money-loser. So the industry bills whichever is larger — actual or volumetric — and calls it the chargeable weight. Your job is to know which side you're on before the quote arrives, not after.
Reading a freight quote without getting played
Every air and courier quote carries a divisor, and it decides the bill. DHL, UPS, and FedEx international services mostly divide by 5,000; classic IATA air freight divides by 6,000 (so one CBM equals 167 kg); some consolidated parcel services divide by 7,000. The difference between 5,000 and 6,000 is 20% of the chargeable weight on the same box, which is why the divisor should be printed on the quote. If it isn't, ask — a forwarder who can't tell you the divisor on their own rate sheet is not the forwarder for a light, bulky product.
Two unit traps follow every quote. First, the formula only works in centimeters and kilograms — a quote in inches or pounds is a different calculation, and nobody converts for you at invoicing time. You cannot negotiate the formula, but you can change the inputs, and that is where real money sits. Dim weight is set by the outer dimensions of the carton, so everything that makes a box bigger than its contents is pure tax. The moves that work, in order of return:
Vacuum-bag soft goods. A 100-piece order of compression-packed jackets can lose 60–70% of its volume, and the vac-packing costs pennies per bag. This is the single biggest win for apparel sellers and it costs almost nothing.
Right-size the carton. Suppliers habitually ship in one "standard" box size for everything, and a 20% oversize carton is a 20% oversize bill on every box, every shipment, forever. How the freight bill and the duty bill split apart
One confusion persists across every corridor: freight and duty are unrelated calculations that happen to land on the same invoice. Freight pays for space — actual or volumetric, whichever is larger. Duty pays for the goods — assessed on the CIF value (goods plus freight plus insurance), not on the weight at all. What's the difference between 5000, 6000 and 7000 in a quote?
The divisor. A smaller divisor means a bigger volumetric weight: the same 1 CBM box bills at 200 kg under ÷5000, 167 kg under ÷6000, and 143 kg under ÷7000. Do customs duties depend on volumetric weight?
